Meeting minutes play a crucial role in documenting discussions, decisions, and action items during meetings. They serve as a valuable reference point for attendees and stakeholders, ensuring clarity, accountability, and productivity in organizational settings. Meeting minutes act as the formal record of what transpired during meetings and help track progress on action items. Well-crafted meeting minutes are essential for ensuring alignment among team members, clarifying responsibilities, and holding individuals accountable for their commitments.

On June 26, 2024, SEA, Inc. facilitated a Minutes Taking Workshop at Pinili Restaurant. This workshop was attended by the presidents and secretaries of the newly organized sectors, namely Calumbuyan Women Association (CWA), Hubon Babayenhon, Hugpong Kababaehan, Pasil 4H Club, Jelicuon Este Women Association (JEWA), and Bita-og Gaja Rural Workers Association (BIG-RuWa). A total of 15 individuals willingly participated in the workshop.

The secretaries of these newly organized sectors come from diverse backgrounds—they are farmers, students, housewives, and vendors. This implies that taking minutes of the meeting is not their primary occupation. However, being a secretary of an association requires expertise in documenting meeting minutes. This workshop equipped them to perform their functions well and enabled them to independently process their documents when they have significant proposals or projects that require such documentation.

Moreover, possessing skills in making meeting minutes is not limited to documenting the meetings of the association. It can also serve as a source of income, as some agencies hire documentation officers to record their activities, which pays a sufficient amount of money.

Towards the end of the workshop, the participants expressed their heartfelt gratitude to SEA, Inc. for teaching them such valuable skills. They felt competent and empowered to stand on their own without needing help from anyone or being at the mercy of someone else to accomplish their documents.

Rosalia added, “I was able to internalize the process, and it made me realize the need to improve my skills in writing meeting minutes as I am the secretary of our association.”

Cheska noted, “Because I attended the workshop, my knowledge was enhanced.”

Maricel shared, “I’ve been attending a lot of seminars and meetings, but this is the first time that I learned how meeting minutes are done.”

Meriam mentioned, “Because I attended the workshop, I was able to learn the step-by-step process of taking meeting minutes.”

Mastering the art of minute taking is a valuable skill that contributes to effective communication, collaboration, and decision-making within organizations. The Minutes Taking Workshop also ensures the sustainability of the associations, as even after the IPAT-SIAD program ends, the associations will be skilled enough to continue and flourish independently.

In conclusion, the Minutes Taking Workshop provided the participants with the necessary tools and confidence to document their meetings accurately and efficiently. This skill will not only benefit their respective associations but also open doors for potential income opportunities. 

SEA, Inc.’s initiative to conduct this workshop highlights the importance of skill development and empowerment in ensuring the success and sustainability of community organizations. By mastering the art of minute-taking, these individuals are now better equipped to contribute to their associations’ productivity and accountability, ensuring that they can thrive long after the initial programs have ended.
